Summary of responsibilities

This part-time position provides administrative support to the advisor and customer service support to the advisor’s clients in the firm's day-to-day operations.


Principal responsibilities

  • Onboard new client accounts, which includes the collection of required documentation and client information within the appropriate turn around time.
  • Perform administrative duties that support the advisors in daily business practices, including but not limited to, telephone coverage, coordination of client meetings and calendar maintenance.
  • Support the team’s marketing strategy by maintaining marketing materials, including digital and social media platforms, and planning client events.
  • Place trades through Commonwealth at advisor’s direction, if licensed.
  • Maintain updated client contact records using CRM system.
  • Follow up on outstanding client transactions (e.g., transfers).
  • Maintain up-to-date, organized client files, including copies of all signed applications and forms, according to Commonwealth’s Compliance requirements.
  • Track pending business paperwork; update pending business summary sheet for advisor’s attention when documents are outstanding; track and tally all outstanding work
  • Regularly review Commonwealth news items, technology updates, and e-mail communications; report pertinent information back to advisor

Required knowledge/skills/competencies

  • High attention to detail and superior organizational skills
  • Three years experience in an administrative role or experience in financial services
  • Exceptional customer service experience
  • Proficiency in MS Office Suite (e.g., Word, Excel)
  • Ability to effectively prioritize workload and meet deadlines

Job Type: Part-time

Pay: $27.00 - $30.00 per hour

Expected hours: 20 per week


Schedule:

  • Day shift
  • Monday to Friday

Ability to Relocate:

  • Needham Heights, MA 02494: Relocate before starting work (Required)

Work Location: In person
